Producer Team | Reports to Managing Director
The Role
The Producer sits within the Producer Team, reporting to the Managing Director. The Producer Team owns the client relationship and overarching project management of every engagement, working in close collaboration with the Creative Department, Production Department, and other specialist functions to bring projects to life.
As a Producer, you will own the delivery of your own projects end to end, and support Senior Producers on the agency's largest and most complex engagements. You will be the day-to-day client contact on your projects, the coordinating point across internal departments, and the person who holds the detail together from brief through to bump-out.
This is a role with genuine autonomy and genuine accountability. You will be trusted to run your own projects without close supervision, and expected to escalate early and clearly when a decision sits above your level. It is also the primary development pathway to Senior Producer at SUBVRT.
Key Responsibilities
Client Relationship Management
• Serve as the day-to-day client contact on your own projects, owning the relationship from brief through to post-event review
• Support Senior Producers as a secondary client contact on the agency's largest and most complex engagements
• Run client briefings and status meetings with confidence, preparation, and clear outcomes
• Proactively communicate project progress, risks, and decisions so that clients are always informed and never surprised
• Build trusted working relationships that support client retention and give clients confidence in SUBVRT's delivery
• Escalate client issues to the Senior Producer or Managing Director early, with a clear view of the problem and a recommended path forward
Project Management
• Own the overarching project management of your own engagements, providing the central coordination point across the Producer Team, Creative Department, Production Department, and all other internal and external contributors
• Manage defined workstreams within larger projects under the direction of a Senior Producer
• Build and maintain project plans including timelines, resource schedules, milestone trackers, and risk registers utilising SUBVRT templates and SOPs
• Establish clear roles, responsibilities, and mutual expectations with all project stakeholders at outset
• Run effective project meetings, always prepared, purposeful, and outcome-driven
• Manage multiple concurrent projects without compromising quality, client experience, or team workload
• Maintain accurate, current project documentation so that any team member can pick up your project and understand its status
Event Delivery
• Lead delivery of your own projects from pre-production through to bump-out, ensuring all workstreams are on time, on budget, and on brief
• Act as the on-site lead for your own projects, and as a senior support to the Senior Producer on large-scale events
• Anticipate and resolve operational challenges before they escalate, applying lateral thinking to find solutions that protect both the creative intent and the budget
• Know the boundary of your own authority on-site and escalate promptly and clearly when a decision sits above it
• Conduct thorough post-event reviews and contribute learnings back to the business
Team Coordination and Development
• Direct Event Managers and Event Coordinators working on your projects, setting clear expectations and providing the information they need to deliver
• Provide day-to-day guidance and constructive feedback to junior team members, contributing to their development
• Support onboarding and capability building within the Producer Team
• Model SUBVRT's standards for client service, delivery rigour, and professionalism
• Actively seek feedback and development opportunities to build toward a Senior Producer role
Financial Management and Reconciliation
• Own the financial performance of your own projects including budgeting, forecasting, cost control, and reconciliation
• Manage defined budget lines within larger projects under the direction of a Senior Producer
• Build accurate and detailed budgets at brief stage and maintain disciplined cost control throughout
• Identify and escalate scope creep early, managing variations through appropriate commercial processes
• Complete thorough post-event reconciliations including all expenses, TOIL, and petty cash
• Protect project margins and contribute to the agency's overall commercial health
Risk and Safety Management
• Embed risk and safety thinking into every stage of project planning as genuine practice, not a compliance exercise
• Develop and maintain risk registers, site safety plans, and emergency procedures for your projects
• Ensure all team members, suppliers, and contractors on your projects operate within agreed safety frameworks
• Stay current with relevant WHS legislation, industry codes of practice, and permit requirements
Supplier and Stakeholder Management
• Identify, engage, and manage suppliers, contractors, and venue or site partners relevant to your projects
• Negotiate scope and pricing to achieve best value without compromising quality or relationships
• Hold external partners to agreed standards and raise performance concerns with the Senior Producer where required
• Build your own supplier knowledge and relationships as a long-term professional asset
What You Bring
Experience
• 3 to 5 years of experience in a producer, event manager, or equivalent delivery role within an agency or event production company
• Demonstrated track record delivering multi-stakeholder projects with direct client contact
• Experience independently managing project budgets of $250K or more
• Experience across large music festivals, greenfield events, or large-scale experiential programs is highly desirable
Skills and Capabilities
• Strong project management and organisational skills with a systematic, detail-oriented approach
• Sound financial literacy including budgeting, cost tracking, and reconciliation
• Confident client communication skills with the presence to run a client meeting unsupported
• Sharp problem-solving instincts and the ability to think laterally under pressure
• Ability to direct junior team members and external partners with clarity
• Working knowledge of WHS requirements and risk management for live events
• Proficiency in project management tools and event software; Monday.com experience is an advantage
