The Role
The Senior Producer sits within the Producer Team, reporting to the Head of Events, and is a senior delivery leader within SUBVRT. The Producer Team owns the client relationship and overarching project management of every engagement, working in close collaboration with the Creative Department, Production Department, and other specialist functions to bring projects to life.
As a Senior Producer, you will lead a portfolio of complex, high-value projects from brief through to bump-out, serving as the primary point of contact for clients and the central coordinating force across all internal departments and external stakeholders.
Key Responsibilities
Client Relationship Management
• Serve as the primary client contact across your project portfolio, owning the relationship from initial brief through to post-event review
• Lead client briefings, status meetings, and presentation sessions with confidence and clarity
• Proactively communicate project progress, risks, and decisions so that clients are always informed and never surprised
• Build trusted, long-term client relationships that support retention and growth
• Work alongside account and creative leads to ensure a consistent, high-quality client experience at every touchpoint
Project Management
• Own the overarching project management of each engagement, providing the central coordination point across the Producer Team, Creative Department, Production Department, and all other internal and external contributors
• Build and maintain comprehensive project plans including timelines, resource schedules, milestone trackers, and risk registers utilising SUBVRT templates and SOPs
• Establish clear roles, responsibilities, and mutual expectations with all project stakeholders at outset
• Run effective project meetings, always prepared, purposeful, and outcome-driven
• Manage multiple concurrent projects without compromising quality, client experience, or team workload
Event Delivery
• Lead project delivery from pre-production through to bump-out, ensuring all work streams are on time, on budget, and on brief
• Act as the senior decision-maker on-site during events, maintaining calm authority and clear communication across all teams
• Anticipate and resolve operational challenges before they escalate, applying lateral thinking to find solutions that protect both the creative intent and the budget
• Conduct thorough post-event reviews and contribute learnings back to the business
Team Leadership and Development
• Lead, mentor, and develop Producers, Event Managers, and Event Coordinators within your project teams
• Set clear expectations, provide regular and constructive feedback, and create conditions for the team to do their best work
• Contribute to onboarding, capability building, and the ongoing development of the Producer Team
• Model SUBVRT's standards for client service, delivery rigour, and professionalism
Financial Management and Reconciliation
• Own the financial performance of your projects including budgeting, forecasting, margin management, and reconciliation
• Build accurate and detailed budgets at brief stage and maintain disciplined cost control throughout
• Identify and escalate scope creep early, managing variations through appropriate commercial processes
• Complete thorough post-event reconciliations including all expenses, TOIL, and petty cash
• Protect project margins and contribute to the agency's overall commercial health
Risk and Safety Management
• Embed risk and safety thinking into every stage of project planning as genuine practice, not a compliance exercise
• Develop and maintain risk registers, site safety plans, and emergency procedures for all events
• Ensure all team members, suppliers, and contractors operate within agreed safety frameworks
• Stay current with relevant WHS legislation, industry codes of practice, and permit requirements specific to large-scale and greenfield events
Supplier and Stakeholder Management
• Identify, engage, and manage suppliers, contractors, and venue or site partners relevant to your projects
• Negotiate scope, contracts, and pricing to achieve best value without compromising quality or relationships
• Maintain productive working relationships with councils, regulators, and permit authorities, particularly in the context of greenfield and festival events
• Hold all external partners to agreed standards and conduct performance reviews where appropriate
What You Bring
Experience
• 5 to 8 years of experience in a senior producer or equivalent role within a live events agency or event production company
• Demonstrated specialist experience in large music festivals and greenfield events;
• Proven track record managing complex, multi-stakeholder projects with full client ownership
• Experience independently managing project budgets of $1m or more
Skills and Capabilities
• Exceptional project management and organisational skills with a systematic, detail-oriented approach
• Strong financial literacy including budgeting, forecasting, and reconciliation
• Outstanding client communication and stakeholder management skills
• Sharp problem-solving instincts and the ability to think laterally under pressure
• Confident leadership presence with the ability to direct teams and external partners across complex project environments
• Working knowledge of WHS requirements and risk management for large-scale outdoor and greenfield events
• Proficiency in project management tools and event software; Monday.com experience is an advantage
